Description

The Visitor Services Coordinator (initially posted as an Administrative Assistant) position oversees museum scheduling, training and supervising students and volunteers, visitor services, and reception duties.

Department: Kauffman Museum (an affiliate of Bethel College)

Classification: Part-time to full-time [0.75 – 1.0 FTE]; hourly, non-exempt, benefits-eligible

 

Essential Functions

  • Support the mission and values of Kauffman Museum
  • Coordinate scheduling for tour groups, field trips, rentals, volunteers, and students
  • Coordinate day-to-day front desk visitor services
  • Handle on-site coordination of school field trip visits
  • Work with and supervise museum volunteers, students and occasionally interns
  • Collaborate with other museum staff
  • Interact with consultants and outside clients
  • Assist with oversight of museum facilities
  • Other possible assignments:
    • Traveling exhibit bookings, contracts and marketing
    • Special Event assistance and planning
    • Museum Store management
  • Other position-related tasks as assigned
  • Demonstrate flexibility and willingness to learn and adapt to changing work processes, including moving from in-person to remote work and back, as necessitated by College policy or as directed by the supervisor
  • Satisfy the duties of a Mandated Reporter relating to Title IX and the Bethel College Equal Opportunity, Harassment, & Non-Discrimination Policy and Procedures
  • Arrive on time for work, attend work regularly, and successfully complete the responsibilities of the position
  • Comply with Bethel College policies and procedures

 

Supervisory Responsibilities

  • Training and oversight of student employees and museum volunteers, most often those working in visitor services assignments

 

Education and/or Experience

  • Associate’s degree or higher, required
  • Bachelor’s degree, preferred
  • Proven experience in logistical coordination and scheduling, required
  • Proven experience in visitor and public relations, required

 

Certifications, Licenses, Registrations

  • Valid Driver’s License

 

Skills Required

  • Technical competence with both Macs and PCs
  • Experience with essential computer software including Microsoft Word, Excel, and email/social media marketing tools such as Mailchimp
  • Ability to work independently with a collaborative creative team using good written and verbal communication skills
  • Ability to speak confidently and knowledgeably in front of a group of visitors or school children

  • Minimal lifting (up to 50 lbs.) and reaching
  • Operates a computer and other office productivity machinery, such as telephone, calculator, copy machine, and printer for extended periods of time
  • Moving about to accomplish tasks or moving from one part of the museum to another
  • Ascending and descending stairs
  • Ability to perform tasks both sitting and standing for extended periods of time
  • Ability to function well in a standard office setting
  • Medium/indoor work environment
